Refunds & Charter Cancellation Policy

1. Booking Deposits & Payment Schedule

To secure a private vessel charter date or corporate tournament slot, Map & Sail requires a non-refundable initial deposit of 30% upon mutual execution of the charter party agreement and preliminary manifest reservation. The remaining 70% balance, along with pre-funded cage liquidity allocations and bespoke culinary provisioning fees, is due strictly 30 calendar days prior to the scheduled embarkation date.

2. Standard Client Cancellation Schedule

In the event that the Client requests cancellation of a confirmed charter, refund eligibility is governed by the following operational timeline:

• 60+ Days Prior to Embarkation: Full refund of all funds received, less a 5% administrative and AMSA compliance clearance processing fee.
• 30 to 59 Days Prior to Embarkation: 50% refund of the total charter value, or 100% transfer of funds as a 12-month re-booking credit for alternate sailing dates.
• Less than 30 Days Prior to Embarkation: Due to vessel mobilization, fuel bunker lock-in, international dealer allocations, and provisioning commitments, charter fees are non-refundable. However, 100% of unused cage escrow funds and pre-purchased chip allocations are refunded immediately.

3. Severe Weather & Oceanic Force Majeure

If the Bureau of Meteorology (BOM) or the Australian Maritime Safety Authority (AMSA) issues severe tropical weather warnings, cyclone alerts, or dangerous sea state warnings (exceeding 3.5m swell) that prohibit sailing into open neutral waters, the Master of the Vessel will prioritize passenger comfort and safety. In such cases, the Client is offered either: (a) sheltered lagoon route re-anchoring within the Great Barrier Reef, (b) a full 100% rescheduling voucher valid for 24 months, or (c) a prorated refund for uncompleted sea days.

4. Instant Cage Liquidity Settlement Guarantee

Pre-funded cage gaming deposits, unplayed tournament buy-ins, and chip balances are held in segregated trust accounts and are 100% guaranteed. If a charter is cancelled or shortened, all un-wagered cage funds are returned to the Client's originating bank account or cryptocurrency address within 24 business hours.

5. Submitting a Refund Request

All refund and cancellation requests must be submitted in writing by the primary charter contract signatory to mapandsail@gmail.com. Refund claims are audited and processed by our financial controller within 5 business days of written receipt.
